01Getting Started
What happens the first time you open Verbatio, and what the app needs from your device before it can work.
When you open Verbatio for the first time, it walks you through a short introduction before asking for two things it needs to function: access to your microphone, so it can record audio, and permission to see files you choose to import. Verbatio never requests anything beyond this — there's no account to create and no email address to enter.
Because Verbatio processes everything on your device rather than sending it to a server, it needs a small set of AI models downloaded before it can transcribe or summarize anything. The transcription models download automatically and are small enough to arrive quickly over most connections. The larger AI model used for Meeting Minutes is downloaded separately and only when you choose to use that feature, since it's a considerably bigger file — you'll see exactly how large it is and be asked to confirm before it begins.
Downloading the larger Meeting Minutes model over Wi-Fi will generally be faster and won't use your mobile data allowance.
02The Library
Your Library is the home screen — a list of every recording you've made or imported, organized automatically by date.
Renaming a recording
Every recording is given a default name when it's created. To give it a more useful title, press on the recording's name directly. This opens it for editing right where it is — type the new name and confirm to save it. This same press-to-edit approach is used consistently throughout Verbatio, so once you're familiar with it here, you'll recognize it everywhere else in the app too.
Deleting a recording
To remove a recording you no longer need, swipe across it in the Library list. This reveals a delete action — confirming it permanently removes the recording along with its transcript, summary, and any meeting minutes generated from it. This can't be undone, so it's worth being sure before confirming.
Searching your Library
The search bar at the top of the Library lets you find a recording by its title. For searching *inside* the words that were actually spoken, see the note on transcript search in Section 6 — the two search functions work differently, and it's worth knowing which one you're using.
Starting something new
Two buttons sit at the bottom of the Library: Record, which opens the recording screen immediately, and Import, which lets you bring in an audio file you already have.
03Recording Audio
Capturing a conversation, meeting, or lecture directly within the app.
Tap Record from the Library to begin. Verbatio starts listening immediately, and you'll see your words appear as text in real time, along with a waveform showing that audio is being picked up. This live transcription happens entirely on your device as you speak.
NB: tapping Library while recording stops the transcription and the information is lost. You must remain in the recording screen and tap Stop to save your transcript. You can however, minimize the app and go to a different app or your home screen and the recording will continue in the background.
04Importing Audio Files
Already have a recording from somewhere else? Bring it into Verbatio to transcribe and summarize it.
Tap Import from the Library and choose an audio file from your device. Verbatio accepts the most common audio formats — m4a, mp3, wav, and aac — so recordings from most other apps and devices should work without any conversion needed.
Once selected, Verbatio transcribes the file on your device. Depending on the length of the recording and your device's performance, this can take a little while — a progress indicator will keep you informed rather than leaving you guessing.
05Keeping the App Active During AI Work
One important habit that makes the difference between a smooth result and an interrupted one.
While Verbatio is transcribing an imported file, generating a summary, or generating meeting minutes, please keep your device's screen turned on and stay on that screen within the app. If your screen locks or you switch away to another app during this kind of processing, Android will pause the work to save battery — and Verbatio won't be able to finish until you return.
This is different from live recording, which is specifically designed to keep running quietly in the background even if you step away, exactly as described in Section 3. The distinction comes down to what kind of work is happening: recording audio is a light, ongoing task the system is comfortable leaving to run unattended, while transcribing a file or generating an AI summary is a short, intensive burst of processing that Android is more eager to interrupt the moment your attention moves elsewhere.
In practice, this simply means: once you've started an import transcription, a summary, or a set of meeting minutes, keep your phone unlocked and Verbatio in view until it finishes. Most of these tasks complete in well under a minute — for anything longer, Verbatio will show you clear progress along the way so you know it's still working and roughly how much is left.
06Transcripts
Every recording becomes a readable page — organized, searchable, and yours to edit.
Open any recording from your Library to see its full transcript, laid out for comfortable reading rather than as a dense wall of text. Each recording's transcript sits alongside its title, date, and duration.
Searching within a transcript
The in-document search tool only searches the raw transcript text — the words that were actually spoken. It does not search inside generated summaries or meeting minutes. If you're looking for something you remember from a summary or a set of minutes rather than the original spoken words, you'll want to open that document directly and read it, rather than relying on search.
Editing a transcript
Speech-to-text is very good, but never perfect — press on any part of the transcript text to correct it. Your edit is saved automatically as part of that recording's permanent record.
07Summaries
A quick way to get the key points from a long recording without reading the whole thing.
From any transcript, tap Generate Summary. Verbatio reads through the full transcript and produces a short overview along with a handful of key points, entirely on your device. Once generated, the summary appears alongside the transcript and can be edited, copied, or shared exactly like any other document in the app — see Section 9 for the details on how.
08Meeting Minutes
Turn a recording into a structured, shareable document — with the right format for the kind of meeting it was.
Choosing a template
From any transcript, tap Meeting Minutes and choose the template that matches your meeting: Construction Site, Technical, Medical, or General. Each one organizes the resulting document with headings suited to that setting, and includes an action items table showing what needs to happen next, who's responsible, and by when.
Meeting minutes are generated by AI from your recording. Every generated document carries a small reminder of this, and it's worth taking a moment to check the details — especially who's been assigned each action — before sending it on to anyone else.
How long recordings are handled
Verbatio's on-device AI can only take in a certain amount of text at once. For a short meeting, this is never something you'll notice — the whole recording is handled in a single pass. For a longer recording, Verbatio quietly splits the transcript into a few shorter sections behind the scenes, so each one can be processed properly, and generates a complete set of minutes for each section individually. You'll see these appear as Part 1, Part 2, and so on.
When a recording has more than one part, you'll see a row of small labeled buttons near the top of the Meeting Minutes card — Part 1, Part 2, and so on. If there are more parts than fit on screen at once, drag or swipe that row from right to left to reveal the rest.
Combining parts into one document
Each part stands on its own as a complete, readable document — nothing requires you to combine them. If you'd prefer a single final document instead, tap Merge into one document, which sits just below the part buttons. Verbatio will explain, in plain terms, that combining parts uses AI again and can very occasionally repeat a point or miss connecting an action item to the right person if they were only mentioned in a different part — so it's worth a quick look over the result. Confirming will combine every part into one document, which then appears as its own selectable option labeled Merged Document alongside the original parts.
Importantly, merging never removes or changes your original parts — they stay exactly as they were, fully available, so you can always check a specific part against the combined version if anything looks off.
09Editing, Downloading & Exporting
The same simple pattern works across transcripts, summaries, and meeting minutes.
Editing
Anywhere you see text in Verbatio — a transcript, a summary, a section of meeting minutes, or an entry in the action items table — press on it to edit it directly. There's no separate "edit mode" to switch into; pressing the text is all it takes, and your change is saved the moment you confirm it.
Downloading and exporting
Open any document and use the download icon to save it, or the share icon to send it on through email, messaging, or any other app on your device. Meeting minutes can be exported as a clean, formatted PDF, ready to print or forward to a team — genuinely intended to leave the app and be read on its own, not just viewed on your phone.

10Your Trial & Purchase
How Verbatio's pricing works — and why there's no subscription to keep track of.
Verbatio can be used in full for a short trial period with no card required to start. Once your trial ends, continuing requires a single one-time purchase, priced in your local currency — after that, there's nothing further to pay, ever. No recurring charge, no renewal date to remember.
If you decide not to purchase once your trial ends, everything you've already recorded, transcribed, or generated stays exactly where it is and remains viewable — you simply won't be able to create anything new until you do.

12Privacy & Your Data

Everything Verbatio does to your voice happens on your own device. Recording, transcription, summarization, and meeting minutes generation are all performed by AI models running locally on your phone — never on a server, never in the cloud. Your audio and the words transcribed from it are never uploaded anywhere, by design, not just by policy.
There's no account to create and no personal information collected to use the app. The only outside service involved at all is the one-time purchase itself, handled directly and securely by Google Play. For the complete details, see our Privacy Policy.
